1. Who we are and the scope of this policy

ECL Square is a business and professional-services brand operated by RVSBELL Analytics Private Limited ("RVSBELL Analytics", "ECL Square", "we", "us", or "our"). RVSBELL Analytics is the data fiduciary or data controller for personal data covered by this policy.

This policy applies to eclsquare.com, member and administrative workflows, assessments, contact and newsletter forms, campaign landing pages, LinkedIn Lead Gen Forms, events, downloads, email communications, and related sales or professional-services interactions.

2. Personal data we collect

Depending on how you interact with us, we may collect:

• identity and professional details, such as your name, work email address, telephone number, job title, organisation, industry, company size, and business location;
• information you submit in an assessment, enquiry, event registration, download request, member application, survey, or other form;
• campaign and consent records, including the form, advertisement or page used, date and time, consent status, source, campaign identifiers, and UTM parameters;
• account, authentication, approval, email-delivery, subscription, suppression, and communication records; and
• technical data such as IP address, browser or device information, security events, cookie choices, and website interaction data where the relevant cookies or measurement tools are enabled.

When you submit a LinkedIn Lead Gen Form, LinkedIn provides the profile fields and form responses shown to you before submission, together with campaign and form identifiers. Please do not provide sensitive personal data or confidential portfolio information in free-text fields.

3. How and why we use personal data

We use personal data only for specified business and legal purposes, including to:

• provide the report, tracker, assessment result, event access, download, or information requested;
• respond to enquiries, arrange discussions, assess requirements, and manage prospective or existing relationships;
• administer accounts, authentication, approvals, service communications, and customer support;
• send newsletters, nurture emails, product updates, event invitations, or other marketing only where you have opted in or where otherwise permitted by applicable law;
• measure campaign performance, attribute conversions, improve our website and content, and prevent duplicate or fraudulent submissions;
• maintain security, audit trails, suppression records, and evidence of consent or withdrawal; and
• comply with legal obligations and establish, exercise, or defend legal claims.

Where applicable, processing is based on your consent, steps taken at your request before entering a contract, performance of a contract, compliance with law, or another permitted legitimate use. You may withdraw consent at any time without affecting processing already carried out lawfully.

4. LinkedIn Lead Gen Forms and campaign measurement

If you submit an ECL Square Lead Gen Form on LinkedIn, we use the submitted information to fulfil the offer described in the advertisement and form, deliver the requested materials, contact you about that request, and record the source of the enquiry. Optional newsletter or broader promotional follow-up is used only when the relevant consent is collected. You can unsubscribe from marketing at any time.

Where you have enabled marketing measurement and our LinkedIn integration is configured, ECL Square may send LinkedIn a one-way SHA-256 hash of your normalised email address, a LinkedIn click identifier when available, and limited conversion details such as event type, identifier, value, and time. We do not send your enquiry text or assessment answers in that conversion payload.

LinkedIn processes information under its own policies and advertiser terms. LinkedIn may retain sponsored Lead Gen Form data for the period stated in its Lead Gen Form documentation. We download or sync only the fields required for the purposes stated above.

5. Sharing, processors, and international transfers

We do not sell or rent personal data.

We may share the minimum necessary information with authorised staff and service providers that support website hosting and security, database and authentication services, email delivery, campaign platforms such as LinkedIn, analytics enabled by your choices, customer-relationship workflows, and professional advisers. Providers act under applicable contracts and may use data only to provide the relevant service or comply with law.

Some providers may process data outside India or your country of residence. Where required, we use contractual, organisational, and technical safeguards and comply with applicable restrictions on cross-border processing.

6. Retention

We retain personal data only as long as needed for the stated purpose, the business relationship, security and audit requirements, legal obligations, and the establishment or defence of claims. Retention depends on the record and context.

• Where a website campaign requires email confirmation, the request remains pending until confirmed. The confirmation link expires after 14 days, and an expired pending record is deleted after a further 30 days.
• Successful LinkedIn integration payloads are redacted after processing. Terminal failure payloads may be retained for diagnosis for up to 90 days before redaction.
• Marketing subscription and suppression records are retained as needed to honour your communication choice and demonstrate compliance.
• Confirmed enquiry, customer, contract, transaction, and CRM records may be retained for the life of the relationship and an appropriate legal, tax, audit, security, and limitation period thereafter.

When information is no longer required, we delete, anonymise, or securely restrict it.

7. Security

We use reasonable technical and organisational measures designed to protect personal data, including access controls, encrypted connections, authentication safeguards, logging, limited service-role access, form protection, and review of data-delivery failures. No system can guarantee absolute security, and you should avoid sending confidential or sensitive information through public forms.

8. Cookies and similar technologies

We use necessary technologies for site operation, preference storage, authentication, form protection, and security. Optional analytics or marketing technologies operate according to your choices where consent is required. Review or change those choices through Cookie settings and read our Cookie Policy.

9. Your choices and rights

Subject to applicable law, you may ask us to:

• confirm or provide a summary of personal data we process about you;
• correct, complete, or update inaccurate personal data;
• erase personal data that is no longer required or is processed based on withdrawn consent;

• stop marketing communications by using the unsubscribe link or contacting us; and
• address a privacy grievance and provide information about available escalation channels.

We may need to verify your identity before acting on a request. Some information may be retained where required by law, security, suppression obligations, or legal claims. ECL Square is a business-to-business service intended for professionals and is not directed to children. We do not knowingly request personal data from children through our campaign or commercial forms.
